You've heard AI will change everything. Maybe it will. But if you run a business with a handful of people and a full calendar, the useful question is smaller: where will it give me hours back this month?

Today's AI is excellent at language: reading, writing, summarizing and answering questions from information you give it. It's fast, it doesn't sleep and it's endlessly patient. It's not good at judgment calls it has no context for, and it shouldn't be trusted with anything you wouldn't check.

So the best uses sit where your business deals with a lot of words and repetition: messages, quotes, follow-ups and "where's that file?" questions.

  1. Pick the leak. Missed calls? Slow quotes? Endless follow-ups? Start with the one that costs you the most.
  2. Try it by hand first. Use a general assistant with a good prompt for a week. If it helps, it's worth automating.
  3. Set rules early. Decide what information stays out of AI tools and who checks the output.
